PestPro CRM FAQ: The Questions New Users Ask Most
Answers to the most common questions from new PestPro CRM users, covering setup, scheduling, invoicing, reminders, and what to do when something is not working as expected.
Every new PestPro user runs into the same handful of questions in their first few weeks. Here are the most common ones, answered clearly.
Setup questions
Why is the weather bar not showing up on my dashboard?
Your address and ZIP code need to be entered in Settings. Once saved, the weather bar will appear automatically. It is tied to your service area location.
How do I get my logo on invoices and estimates?
Go to Settings and look for your business profile or branding section. Upload your logo there and it will appear on all customer-facing documents.
Can I import my existing customer list?
Yes, you can import a CSV file of your customer records. On a laptop or desktop go to the Settings tab and look for an Import option. Format your spreadsheet with columns for name, address, phone, email, and any notes before importing.
Scheduling questions
How do I set up a recurring job so I do not have to rebook every time?
Open the customer record, then add a recurring service plan. Set the service type, frequency, start date, and price. PestPro will generate the jobs automatically at each interval.
Can I see all my jobs for the week in one view?
Yes. Use the calendar or schedule view in your dashboard to see jobs by day or week. You can also filter by status (scheduled, complete, pending) to see where things stand.
What happens if I need to reschedule a job?
Open the job record and edit the date and time. The customer's reminder will update automatically if the job is rescheduled before the reminder fires.
Reminders and messages
My customers are not getting reminders. What is wrong?
Check two things: (1) make sure the customer has a phone number on file, and (2) make sure reminders are enabled on the job. Also confirm in Settings that your sending number is active.
Can I customize the reminder message?
Yes. Go to Settings and find your reminder or message templates. You can edit the wording, add prep instructions, and include your Google review link in follow-up messages.
Can I send a one-off text to a customer without it being a reminder?
Yes. From inside a customer record or job record, you should have the option to send a manual message directly to that customer.
Invoicing and payment questions
How do I send an invoice?
Mark the job complete, then generate an invoice from inside the job record. Send it via text or email directly from PestPro.
Can I record a payment made in cash or Venmo?
Yes. When logging a payment, you can select the payment method. Choose cash, check, or whatever method applies. This keeps your records accurate regardless of how you actually collect.
Where can I see which invoices are still unpaid?
Look for an invoices or payments view in your dashboard or reports section. Filter by status to see outstanding balances.
Data and reporting
How do I see my total revenue for the month?
Navigate to Reports and filter by date range. You can pull monthly, quarterly, or annual revenue totals.
Can I export my customer list?
Yes. Go to your Customers section and look for an Export option. This downloads your data as a CSV file you can open in Excel or Google Sheets.
What happens to my data if I cancel?
Export your data before canceling. Use the export function in both Customers and your job/invoice records to save a complete backup of everything you have entered.
